Organiser Terms

1. About these terms
These Organiser Terms apply when you apply to register, or act as an organiser, editor or member of an organiser team on the Casa Rio community Platform (the “Platform”).
They apply in addition to the general Terms of Use and Privacy Notice. If there is any conflict on a matter specifically relating to organisers, these Organiser Terms will prevail to that extent.
By submitting an organiser application, accepting these terms, or using organiser tools after approval:
- the person submitting the application confirms that they are authorised to act for the named organiser; and
- each editor agrees to comply with these Organiser Terms when accessing or using organiser features.
These terms are operated by Casa Rio & Casa Rio CHS Fed. Ltd. (the “Federation”, “we”, “us” or “our”).
2. Applying to become an organiser
Submitting an application or showing interest does not create an organiser account, grant publishing rights or entitle anyone to use organiser features.
The Federation may approve, refuse or defer an application, or subsequently withdraw an approval, having regard to these Terms, the nature of the proposed activities, community interests and the proper administration of the Platform.
Approval, if granted, is a limited permission to use organiser features for appropriate community activities at Casa Rio and Palava.
It does not create any:
- employment or agency relationship;
- partnership or joint venture;
- franchise or licence;
- representation of the Federation; or
- exclusive right to any name, handle, activity or community audience.
Approval or verification of an organiser does not amount to endorsement, accreditation, recommendation or guarantee by the Federation of the organiser, its members, activities or events.
3. Organiser identity and handle
An applicant must provide accurate and current information reasonably required to identify and verify the organiser, including:
- the organiser’s full name;
- a requested public handle;
- an official or designated email address;
- a contact number; and
- a registration number, where the organiser is a registered society, trust, company or other registered entity.
The Federation may request additional information or documents reasonably necessary to verify the organiser or the authority of the person acting for it.
The organiser must not impersonate another person, society, organisation, public authority or the Federation, or create a page that misleadingly suggests an affiliation that does not exist.
Public handles
A handle is only a unique public identifier used on the Platform. It does not become the organiser’s property or create any proprietary right.
The Federation may refuse, modify or reclaim a handle where reasonably necessary to:
- prevent impersonation or confusion;
- address misleading or inappropriate use;
- recover an inactive or unused handle;
- protect reserved names; or
- otherwise maintain the integrity of the Platform.
4. Editors and account security
Every organiser must have at least one editor who is a natural person responsible for managing its presence on the Platform.
Each editor must sign in using their own mobile number and account.
Accounts, OTPs, login credentials and access rights must not be shared.
The organiser is responsible for activity carried out through its organiser page and for ensuring that its editors comply with these Terms. Each editor is also responsible for activity carried out through their own account.
The organiser must:
- keep editor and contact details accurate;
- promptly request removal of access when an editor leaves the team or no longer requires access; and
- promptly report suspected unauthorised access, misuse or compromise of an organiser or editor account.
The Federation may revoke an editor’s access where the editor leaves the organiser, misuses the Platform, creates a security concern, breaches these Terms, or where the organiser itself is suspended or removed.
5. Publishing events and content
The Platform is intended to help Palavians discover and participate in community activities.
Organiser access allows an organiser to publish eligible events and related information. It does not authorise the organiser to speak or act for the Federation.
Events published on the Platform must ordinarily be open for participation or attendance across the Palava community, subject to genuine age, capacity, skill, safety or programme-specific eligibility requirements.
Private functions or closed-member gatherings must not be listed unless specifically permitted by the Federation.
When publishing an event or related content, the organiser must:
- clearly identify the organiser;
- display the organiser’s name on the principal event image or creative;
- keep the date, time, venue, organiser name, eligibility requirements and contact information accurate and up to date;
- ensure that any restrictions, participation fees or other material conditions are clearly disclosed;
- treat residents, community organisations, member societies and the Federation with respect;
- use the Platform for genuine community activities rather than unrelated advertising, spam or personal promotion; and
- comply with applicable venue, society and Federation rules.
An organiser must not publish or use organiser tools for content or activities that are:
- unlawful, fraudulent or misleading;
- threatening, abusive, defamatory, discriminatory, obscene or hateful;
- intended to target, harass or disparage any person, community or organisation;
- likely to incite hostility or disturb communal or social harmony;
- infringing of copyright, trademark, privacy or other third-party rights;
- harmful to residents, children, public safety or the integrity of the Platform; or
- campaigning for or against a political party, candidate or electoral cause.
Non-partisan civic, public-awareness and community-interest activities may be permitted subject to these Terms and any applicable Federation guidelines.
The Federation may prescribe additional requirements for activities involving participation fees, fundraising, sponsorship, commercial promotion, sale of goods or services, or similar activities.
6. Responsibility for events
Unless an event is expressly identified as a Federation event, the organiser remains solely responsible for planning, managing and conducting it.
This includes responsibility for:
- obtaining all required permissions, approvals, licences and consents;
- obtaining permission to use any venue or common area;
- complying with applicable laws, safety requirements and venue rules;
- ensuring appropriate arrangements for participants, volunteers, vendors, equipment and activities;
- maintaining appropriate supervision, particularly where children or vulnerable persons participate; and
- accurately describing the nature and conditions of the event.
Publication or approval of an event on the Platform does not constitute permission to use any venue, common area or Federation facility.
The Platform provides a listing and, where available, registration facility. Unless expressly stated otherwise, the Federation is not the organiser, promoter, operator, partner or agent of an independently organised event.
Organisers remain responsible for the conduct of their events and of persons acting on their behalf.
7. Registration and participant data
Where an organiser is permitted to view or access participant registration information, it may use that information only for administering and coordinating the particular event for which it was collected.
The organiser and its editors must:
- keep participant information confidential;
- restrict access to persons who reasonably require it for the event;
- take reasonable precautions against loss, misuse, unauthorised access or disclosure;
- not sell participant information;
- not use it for unrelated advertising, marketing, profiling or solicitation;
- not add participants to unrelated mailing or messaging lists without an appropriate lawful basis;
- not disclose or share the information for unrelated purposes; and
- cease using or securely dispose of the information when it is no longer reasonably required for the relevant event, subject to applicable law.
Any suspected loss, misuse, unauthorised access, disclosure or compromise of participant information must be reported to the Federation promptly.
All handling of personal data must comply with the Privacy Notice and applicable data-protection law, including the Digital Personal Data Protection Act, 2023 and rules made under it, as and when applicable.
Where an event involves children, the organiser must also comply with any additional consent, registration, supervision, photography, safeguarding or data-handling requirements prescribed by the Federation or applicable law.
8. Moderation, suspension and removal
Approval as an organiser does not guarantee publication or continued availability of any organiser page or event.
The Federation may review, decline, request changes to, restrict, unpublish or remove content where reasonably necessary to:
- enforce these Organiser Terms or the Terms of Use;
- comply with applicable law;
- address inaccurate or misleading information;
- protect residents, participants or third parties;
- protect the Federation or the Platform; or
- maintain appropriate community and platform standards.
The Federation may also suspend or remove:
- an organiser;
- its handle;
- one or more editors;
- organiser features; or
- related event content,
where it reasonably believes that these Terms, the Terms of Use or applicable law have been breached, or where action is reasonably necessary for safety, data protection, legal compliance or protection of the Platform.
Where immediate action is reasonably necessary, the Federation may suspend or remove access or content without prior notice.
Where reasonably practicable, the Federation may provide the organiser an opportunity to clarify or remedy the issue.
The Federation does not guarantee continuous or uninterrupted availability of organiser tools, registration facilities, handles, pages or published content.
9. Rights in submitted content
The organiser must ensure that it has all necessary rights and permissions to use and publish any names, photographs, logos, artwork, text, videos or other material submitted through the Platform.
By submitting content, the organiser grants the Federation a non-exclusive, royalty-free licence to host, store, reproduce, display, format and technically adapt that content to the extent reasonably necessary to operate the Platform, display the organiser page or event, and communicate or promote the relevant listing through Federation channels.
The organiser remains responsible for ensuring that submitted content does not infringe the rights of any third party.
10. Responsibility and indemnity
The organiser remains responsible for its events, content, editors, representatives, volunteers and persons acting on its behalf.
To the extent permitted by applicable law, the organiser will indemnify and keep indemnified the Federation and its office-bearers against third-party claims, losses, liabilities and reasonable costs arising from:
- the organisation or conduct of its event;
- content submitted by or on behalf of the organiser;
- breach of these Organiser Terms;
- infringement of third-party rights;
- misuse or unauthorised disclosure of participant information; or
- violation of applicable law by the organiser or persons acting on its behalf,
except to the extent that such claim or loss is directly caused by the Federation’s own wrongful act.
Any limitations of liability, disclaimers and other provisions contained in the general Terms of Use continue to apply.
11. Changes and continued eligibility
The organiser must keep its identity, contact details, editor information and other material information current.
The Federation may from time to time update eligibility criteria, operating requirements, community standards or these Organiser Terms.
Where a material change is made, reasonable notice will be given through the Platform or other appropriate means where required or reasonably practicable.
Continued use of organiser tools after the updated terms become applicable constitutes acceptance of those updated terms.
